If, as a Traveler, you cancel your requested reservation by raising a ticket, if the Operator rejects your reservation request due to unavailability, it will automatically cancel any pre-authorization to your credit card and/or refund any nominal amount charged to your credit card in connection with the requested reservation within a commercially reasonable time (10-15 business days). You agree to pay Epic Expanse Travels the deposit for any requested reservations in connection with your Epic Expanse Travels account if such requested reservations are confirmed by the operator. Once your reservation is confirmed and you have received email acknowledgement of receipt, what you have paid is non-refundable. If cancellation is made within 31 days prior to departure, 100% of these costs will be forfeited. Cancellation of permits will result in forfeiture of 100% of the costs.
Neither Epic Expanse Travels nor the operators selling their tours on our website offer or pay any discount or refund for lost or unused services that were lost or unused by the traveler due to causes beyond the control of Epic Expanse Travels, or the operators working with Epic Expanse Travels, which shall include any termination of the traveler's participation in the tour due to their own fault, negligence or breach of these Terms.
All traveler complaints about their tour experience will be passed to the tour operator's team for resolution. Epic Expanse Travels is committed to working with tour operators to achieve a high level of service. However, if the tour operator's response time and/or quality of response continues to fall below acceptable time and quality despite us working together to rectify any issues, Epic Expanse Travels reserves the right to remove listings of tours from the market operators of our website, affiliated websites, mobile applications and to remove any applications provided by us.
UNFORESEEN CIRCUMSTANCES CANCELLATIONS AND REFUNDS FROM OPERATORS
If an Operator cancels a confirmed booking made through the Services, Epic Expanse Travels will refund any payment for such booking to the applicable traveler within a commercially reasonable time of cancellation and the traveler may receive an email or other communication from Epic Expanse Travels containing alternative listings and other related information. If the traveler requests a booking from one of the alternative listings, it will be treated as a new group travel booking. If an operator cancelled a confirmed booking and you, as a traveler, have not received an email or other communication from Epic Expanse Travels, please contact Epic Expanse Travels.
CANCELLATION IN CASE OF INCLEMENT WEATHER
Certain tours may be weather dependent. Notwithstanding the above, in the event of inclement weather, the operator has the discretion to decide if weather conditions will prevent the tour from taking place. As the operator, if you need to cancel a group tour due to inclement weather, you must contact the traveler and Epic Expanse Travels as soon as possible. With the traveler's consent, the operator and traveler may choose to reschedule the group tour for another date. If the Group Tour cannot be rescheduled, as the traveler, please contact Epic Expanse Travels for assistance in finding a replacement Group Tour that is not weather dependent. For clarity, in the event that the alternative Group Tour is priced higher than the previous one, you may be responsible for any difference in price. In the event that the alternative Group Tour is lower priced, you may be entitled to a partial refund of the difference. As a traveler, if you have contacted Epic Expanse Travels as stated above and Epic Expanse Travels is unable to find you a replacement Group Tour, Epic Expanse Travels may refund payment for such reservation to the traveler within a commercially reasonable time of cancellation.
